President
The Board Liaison for Safety & Compliance should make sure that the non-compliance spreadsheet is maintained (by the committee chair, or personally in the absence of a committee chair), review all non-compliance letters prior to distribution by White Management and ensure that electronic copies are sent to the Secretary for HOA records.

- Board officer positions are voted on by the new Board at the first Board meeting after the Annual Meeting (usually each February).
- Each Board members will serve as a liaison to one of the five HOA committees, which means they will establish a working relationship with the chair of the committee, attend committee meetings, report back to the Board at the monthly meetings and relay Board feedback to the committee as needed. As applicable, will also work with their committee chair to ensure that expenses are in line with approved budgets for the year and will bring any significant variances to the Board for approval.

- Each Board member will attend Board meetings (Feb-Jan) and the HOA Annual Meeting, usually in late January.
- The previous Board conducts a hand-off meeting with the new Board in February. The purpose of the hand-off meeting is to review the status of all current projects with new Board members, explain Board member responsibilities, answer questions, etc.
- Meetings: The Board usually meets 10-12x each year on the third Saturday of the month at 10am. This is subject to change by a vote of the Board. If a Board member cannot attend, the President should be notified prior to the meeting.

President
- Work with the Treasurer to ensure that the final, approved annual budget is adhered to and that all significant variances ($500 or more) are approved by the Board.
- Ensure that all Board Covenant Clarifications are documented and published on the website for future Boards and homeowners.
- Oversee the writing and approval of any HOA Covenant changes and the legal filing for any approved changes.
- Oversee any HOA legal measures (hire attorney and manage work done on behalf of HOA).
- Oversee the bidding and installation of all new permanent signs at Frisco Ridge entrances.
- Prepare agendas for all HOA Board Meetings and the Annual Meeting.
- Ensure that the Annual Meeting notice letter is approved by the Board and postmarked at least 30 days prior to the meeting.
- Prepare Annual Meeting materials (printed and electronic), working with committee chairs, the President, Treasurer and with the assistance of the Board Secretary, as needed.
- Monitor all emails coming into the HOA mailbox and either respond or forward to appropriate Board Members and/or Committee Chairs for a response. Monitor to make sure emails receive a response.
- Provide copies of all approved minutes and meeting notices to the Communications Committee Chair for publishing on the website.
- Retain electronic copies of letters going to homeowners (meeting notices, dues, compliance letters, etc.)
- Assist with Annual Meeting packets, as needed.
- Request a proposed budget from all Committee Chairs (Dec or Jan) and prepare a draft budget for review and approval of the new Board.
- Ensure that HOA expenses are consistent with the approved budget and significant variances ($500 or more) are approved ahead of time.
- Ensure that all HOA projects that exceed $500 receive at least two bids.
- Review the monthly list of all paid items (provided by HOA management co) and communicate where these should fall in the P&L statement, as needed. Ensure that the management company gets a second signature on all checks that are not for ongoing items as well as all checks of $2,000 or more.
- Follow up with the HOA management co to ensure that the HOA receives updated financial reports on at least a quarterly basis.
- Provide copies of the Annual HOA Budget and financial reports to the Communications Committee Chair for publishing on the website.
- Oversee all existing signage for the Frisco Ridge subdivision and ensure that all damaged or incorrect signs are replaced in a timely manner. (The Safety & Compliance handles all traffic signs (stop signs, yield, speed limit as they fall under “safety.” This position is responsible for ordering replacement street signs.)
